Features
Everything a shared inbox needs, and nothing it doesn’t
DMU Mail is built around one job: several people answering the same email, without tripping over each other.
01Inboxes
Shared and private inboxes, side by side
Connect info@, orders@ and accounts@ once and the whole team works from them. Your own Inbox shows your private mail and what is assigned to you, and Open lists everything not closed yet.
- Shared with the whole organisation, or with a team
- Private inboxes nobody else can open
- Read state is per person, not per mailbox
- Unassigned mail waits in the shared inbox until someone takes it

02Assignment
Always know who is on it
Assign a conversation to one person or several, give it a status, and mark it important for everyone. The conversation keeps a history of every change, so nobody has to ask.
- Assign to one person or several
- Open, in progress and closed
- Assigned to me and assigned to others
- A history of who did what, and when

03Team chat
Talk it over inside the conversation
Every conversation has a team chat beside it. Mention a colleague to bring them in, even if they can’t see the mailbox, and the customer never sees a word of it.
- A chat in every conversation, never sent to the customer
- Mention someone to bring them in
- See who is reading and who is replying, live
- Private notes instead, on the Individual plan

04Writing
Write once, send it right
Saved replies fill in names and order numbers for you. Signatures fill in each person’s details. Write a draft together, and if you spot a mistake, you have thirty seconds to take it back.
- Saved replies with {{variables}}, for a mailbox, a team or everyone
- Signatures for everyone, a team, a person or a mailbox
- Send later, reschedule or cancel
- Write a draft together, and see who is typing

05Search
Find anything, in Greek or English
DMU Mail understands how Greek works. Search for an invoice in one grammatical case and it finds the others, with or without accents, across mail that stays encrypted.
- Greek and English, accents optional
- Matches every grammatical case
- Works on encrypted mail
- Suggests conversations and people as you type

06Triage
Clear the queue without the mouse
Move with j and k, open with Enter, and reach any action with Ctrl K. To act on many conversations at once, select them and the reading pane becomes a panel of actions.
- Snooze until later, or send later, from one picker
- A command palette on Ctrl K
- Ctrl-click and Shift-click to select
- Bulk actions you can undo

07Automations
Let the routine sort itself
Admins build rules from When, If and Then: label invoices, give new mail to a team in turn, reply out of hours, or flag a customer who has waited too long. Test one on recent mail before it runs.
- Assign in turn, to a person, or to whoever has fewest open
- Label, move, snooze or close as mail arrives
- Automatic replies with business hours and loop guards
- Every action written into the conversation’s history

08Notifications
Stay on top without living in it
A quiet panel collects what changed while you were away. Turn on browser notifications and you’ll know the moment something is assigned to you.
- An in-app notifications panel
- Browser, phone and Windows notifications
- Preview PDFs and images without downloading
- Remote images blocked until you allow them

09Admin
Run it without an IT department
Gmail and Microsoft 365 connect with one sign-in, and for the rest DMU Mail finds the server settings. Invite people, group them into teams, and decide who sees which inbox.
- Gmail and Microsoft 365 connect with one sign-in
- Import years of history in the background
- Invite by email or with a link you copy
- API keys with fine-grained permissions

Security and privacy
Built to be trusted with other people’s mail
Your inbox holds your clients’ invoices, contracts and complaints. We treat it that way.
Hosted in the EU
Our servers run in Nuremberg, Germany, with Hetzner. Attachments are kept in EU object storage.
Mail, encrypted
Messages, attachments, drafts and chat are encrypted with AES-256, under keys unique to each mailbox and kept apart from the data. Delete a mailbox and its keys go too.
A wall per organisation
The database itself keeps each organisation’s mail apart, and we test that wall before every release.
Safe to open
Every email is cleaned on our servers and shown with scripts switched off. Remote images wait until you allow them.
Two-step and passkeys
Protect every account with an authenticator app or a passkey, or sign in with Google or Microsoft.
Your data, your call
Export everything, or delete your organisation from Settings. Your mail also stays with your own provider.
