Automatic replies
Answer mail that arrives out of hours with a response template of your own. Each conversation gets one reply at most, and never to no-reply addresses or mailing lists.

What it does
Answered while you are away
Your own words
The reply is one of your response templates, sent from the mailbox the mail came to.
Out of hours, or any rule
Pair it with outside business hours, or any condition a rule can check.
Never to machines
Not to no-reply addresses, other automatic replies, mailing lists or bulk mail.
Never twice
One per conversation, one a day per sender, and 100 an hour for the organisation.
How it works
Template, rule, test
- 1
Write the template
Make a response template in Settings › Response templates. One with fields to fill in cannot be sent automatically.
- 2
Build the rule
In Settings › Automations: when a message arrives, if it is outside business hours, then reply with that template.
- 3
Test it
Run the test on recent mail to see who would get the reply and who would not, then switch the rule on.
Good to know
The details
- Who can use it
- Administrators, for the organisation’s mailboxes. Members, for their own private mailboxes, when allowed.
- Where
- Settings › Automations, with the text in Settings › Response templates.
- Who gets one
- Only the sender of mail addressed to that mailbox, and only once their provider has proved the address. Never to your own addresses or to mail that asks for no automatic replies.
- Marked as automatic
- Replies carry the headers that tell other systems not to answer back, and show an Automatic reply badge in the conversation.
- Only for new mail
- Switching a rule on never sends replies to mail that is already there.
