Who can see a mailbox
Share a mailbox with everyone, or tick the teams and people who answer it. A line under the list always says how many people can see it, and you can change it at any time.

What it does
Everyone, or only some
Share it your way
Share a mailbox with the whole organisation, or tick any number of teams and individual people.
Administrators always see
Administrators see every shared mailbox, whoever it is shared with.
See who, and why
Each person shows how they get in, such as through a team, and a summary counts everyone with access.
Asked before work is taken away
Taking a mailbox from someone with conversations assigned there asks first, then unassigns them.
How it works
Tick, and it saves
- 1
Open the mailbox
Go to Settings › Mailboxes, choose a mailbox and open its Access tab.
- 2
Tick who
Choose Everyone, or tick teams and people. Search finds them, and each tick saves at once.
- 3
Check the summary
The line under the list counts everyone who can see it. The change is recorded in Activity.
Good to know
The details
- Who can use it
- Only administrators change who can see a shared mailbox. Members see the same tabs, read only.
- Where
- Settings › Mailboxes, then the mailbox’s Access tab.
- One conversation only
- Someone who is assigned a conversation, or mentioned in its team chat, sees that conversation but not the rest of the mailbox.
- Private mailboxes
- Its owner can share a private mailbox with everyone or one team. An administrator can then tick more, and only an administrator can make it private again.
- Make private
- An administrator can give a shared mailbox to one person. Everyone else loses access at once.
