Teams

Group people into teams around the work they do, such as Accounts or Logistics. A team can have its own mailboxes, its own view in the sidebar and its own count.

The inbox, with shared and private mailboxes in the sidebar.

What it does

Teams around the work

  • People, grouped

Add people to the teams they work in. Name a team after the work, so it outlasts any one person.

  • Mailboxes for a team

Share a mailbox with one team or several, so only the people who answer it see it.

  • A view and a count

Members can add the team’s view to their sidebar. It lists what is assigned to anyone on the team, with a count.

  • Share the work

Automations can give new mail to a team’s members in turn, among those who can open the mailbox.

How it works

Create, add, file

  1. 1

    Create a team

In Settings › Teams choose Add a team, name it and, if you like, describe it.

  2. 2

    Add people

Open the team’s Members tab and choose Add people. Remove someone and you get Undo.

  3. 3

    File things under it

Tick the team on a mailbox’s Access tab. Signatures and labels can be limited to a team as well.

The details

Who can use it
Administrators create teams and choose who is in them.
Where
Settings › Teams. Each team has a page with its members and what is filed under it.
What a team grants
Nothing by itself. A team’s members see what is filed under it, and administrators see it too.
Leaving a team
Taking someone out, or deleting a team, deletes no mail. It says whose assigned conversations are affected, and lets you unassign them or keep them.
