These prompts work once DMU Mail is connected to Claude. The names are from the demo world of Aegean Freight, a small forwarder: swap in your own customers and mailboxes. Claude reads and organises, and it writes drafts, but it never sends. You read each draft in Drafts, and you press Send.
Catch up
What is assigned to me in DMU Mail and still open? For each, say who wrote last and when.
Read the conversation with Alpenhof Trading about container TCLU 4471920, including the team chat, and tell me where it stands and what is waiting on us.
Show my snoozed conversations and when each one wakes.
The first is the question to start the day with. Claude lists your assigned conversations, and you can ask it to open the oldest.
The second makes Claude read the whole conversation with the team chat that sits beside it. It is the quickest way into a conversation you missed.
The third lists what you have put away, with the time each one comes back.
Find
Find conversations with Kyma Customs and list what each one asks us to do.
Read the spreadsheet attached to the latest message from Kyma Customs and list any shipment that has no customs reference.
Which open conversations have the label Customs? Group them by who they are assigned to.
The fourth searches by words and then reads what it finds. Name the customer, not "that email".
The fifth reads the text of Word files, spreadsheets, text files and attached messages, up to 12,000 characters. It can't read pictures or PDFs, so a scanned invoice needs you.
The sixth uses your labels. Claude looks the label up by name, then lists the conversations carrying it.
Write
Draft a reply to Anna Vogel at Alpenhof Trading about container TCLU 4471920. Say the customs declaration is lodged and I will confirm the release time tomorrow. Keep it short and polite.
Write a new email from our orders mailbox to customs@kyma-customs.example. Ask for the customs reference of this week's shipment, and leave it as a draft.
The seventh gives Claude the facts, so the reply says only what is true. DMU Mail sets the recipients, the subject and the quoted original as it does for any reply, and saves the draft. Ask for a different tone and Claude changes the same draft.
The eighth starts a new email in a mailbox you choose. If Claude asks which mailbox, name it.
Organise
Assign the Alpenhof Trading conversation to Maria Konstantinou and put the label Customs on it.
List the Maritime Weekly newsletters in my inbox. When I say so, close them.
The ninth needs a person and a label that already exist. Claude finds both, makes the changes and tells you which labels the conversation has afterwards. It assigns people, not teams.
The tenth shows its list first and acts only when you agree. Closed conversations can be reopened, and Claude can't move anything to Trash or Spam.
Things it will say no to
Some requests can't be done
Everything it does is recorded in Activity as "via Claude", so you can check afterwards. The Claude page in the docs has the full list.
A habit worth having
Give Claude names, mailboxes, labels and dates, rather than "that email". Ask it to show you a list before it changes anything. And read every draft before it goes: the words are Claude's first try at what you meant.
