Labels, snooze and spam

Three ways to put a conversation in its place: tag it, put it away until later, or send it to Spam.

Labels

A label is a coloured tag, such as Invoices or Waiting on client. Press l on a conversation, or choose Label, and tick the labels you want. Everyone who can see the conversation sees its labels, and a label never gives anyone access.

Administrators create labels under Settings, then Labels, and can let members create and edit them too (Members can create and edit labels). If you can, the label picker also offers Create a label. A label that is on a conversation can only be deleted by an administrator.

  • Pick one of the colours when you create it.

  • Choose where it can be used: Everywhere, Teams (the mailboxes of chosen teams) or Mailboxes (chosen ones). The picker lists only the labels that fit the conversation’s mailbox.

  • Labels live in DMU Mail only. Outlook and phone mail apps do not show them.

To filter by a label, click it in the sidebar, or type label: and its name in Search.

Snooze

Snooze hides an open conversation until a time you choose. Press b or choose Snooze, then pick:

  • Later today: three hours from now. Offered until the afternoon.

  • This evening: 20:00. Offered before 18:00.

  • Tomorrow morning and Next Monday: at your morning time, 08:00 unless you change it under Settings, then Writing.

  • In…: a number of hours, days, weeks or months.

  • Pick date & time: any moment on the calendar.

A snoozed conversation leaves the other views and waits in Snoozed. It is snoozed for everyone, and the Everyone and Mine switch in that view shows whose snoozes you see. Open one to see when it returns, with Change and Wake now. When the time comes it goes to the top of the Inbox, unread, marked “Back from snooze”. New mail from outside wakes it early.

Spam

Choose Mark as spam, or press !. The conversation moves to Spam at once, and a message offers Block sender and Undo. In the Spam view, choose Not spam to move it back. A banner on each says why it is there. In Spam, pictures and links are off, and replies still work.

Marking spam teaches the filter. When three different people report the same sender within 30 days, DMU Mail blocks them for everyone. Spam empties itself after 30 days unless an administrator changes it.

Open Settings, then Spam & senders, to see who is Blocked, who is Trusted and whose pictures load. Block or trust a sender for everyone (administrators, or members if allowed) or just for you. The Trusted tab ends with Trusted by DMU Mail, a list DMU keeps of well-known senders such as Google. They never get the “from outside” notice, though the spam filter still checks their mail. The same page sets how strict the filter is: Light, Standard or Strict.

Spam only changes DMU Mail

Marking spam does not move the message on your provider’s server.
